Purpose
The Delegates to the Corporation Board for the Western Friend join representatives from Pacific Yearly Meeting and North Pacific Yearly Meeting to attend to the affairs of Western Friend, and to represent the Western Friend within Intermountain Yearly Meeting.
Appointment
Three Delegates appointed by the Yearly Meeting at large.
Terms
Three years renewable for two terms (a total of 6 years), staggered for continuity of representation. A term begins October 1 following the yearly meeting appointment.
Delegates Committee
Western Friend Board Delegates are members of the Delegates Committee and should work with the Clerk and other members of the Committee to better get information from their organization to local and regional meetings
Responsibilities of the Delegates include
- Attending and participating in meetings of the Board, which occur three times a year in person within the areas of the three yearly meetings and about quarterly by video conference.
- Members are expected to participate in a sub-committee of the Board as well.
- New members are expected to attend their first face-to-face meeting in the winter and the outgoing member will be expected to attend the fall meeting.
- Reporting to Yearly Meeting the activities and concerns of the Western Friend Corporation Board.
- In cooperation with the Board and the Editor, making personal efforts to increase circulation of the Western Friend and to encourage monetary contributions from Friends to the magazine.
- In cooperation with the Editor, encouraging writers and artists to submit material to the Editor for possible publication in Western Friend.
- Hosting a meeting of the Western Friend Corporation Board in the IMYM area when the Board decides to convene within the IMYM region.
- Forwarding any concerns to the Clerk of Delegates Committee who will take these to the Representatives Committee for consideration.
- Review your position description after you have finished your term and send any changes or additions you feel are needed to the Clerk of Procedures Committee. If you find issues before that send them earlier.
Financial Arrangements
The Yearly Meeting pays the expenses of the delegates to attend the Board meetings as needed. Incidental operating expenditures for clerical supplies, communications, etc., may be submitted to the Treasurer for reimbursement. The Treasurer should be consulted before incurring unusual expenses.
