Appointment
The Treasurer is appointed by the Yearly Meeting for a three year term beginning on October 1 since September 30 is the end of IMYM’s fiscal year. The appointment may be renewed once for a total of six years of service. The Treasurer’s term should be offset from the term of the Clerk of the Finance Committee. The Treasurer is an officer of the yearly meeting and a member of the Representatives Committee and the Finance Committee.
Responsibilities
- 1. Familiarize themselves with “Treasurer’s Guide, Second Edition” published by Philadelphia Yearly Meeting.
- 2. Use standard forms for all reporting including a statement of activity, balance sheet, and a cash and funds report.
- 3. Receive and deposit funds of IMYM in accounts approved by the Finance Committee and keep records of all income and expenditures. This includes both general funds amounts and monies received by the Registrar for the annual session.
- 4. The Treasurer is inherently authorized to make expenditures up to the budgeted amounts for each line item or account. Upon joint approval by the Treasurer, Finance Committee Clerk, and Clerk of the Yearly Meeting, up to $7,500 beyond the budget can be spent. Expenditures beyond $7,500 above the budget will require approval by Representatives Committee. Representatives Committee Minute #4-20180203.
- 5. Provide the Finance Committee Clerk a copy of a monthly reconciliation with the bank balance(s).
- 6. Provide the Clerk and other members of the Finance Committee with updated reports (statement of activity, balance sheet, and a cash and funds report) quarterly.
- 7. After the annual session, inform each monthly meeting Clerk and Representative to the Representatives Committee of the amount of the assessment for the coming year.
- 8. Send out assessment notices to Monthly Meetings at the beginning of October, and on even years enclosing the census form provided by the Historian/Archivist.
- 9. Provide a written Treasurer’s report for Documents in Advance and present the report to Friends at the annual session.
- 10. Provide receipts for tax purposes to Friends giving more than $100 each year.
- 11. Provide materials requested for the annual review of finances and assist with the review as requested.
- 12. Arrange for orderly transfer of accounts and records to the next Treasurer.
- 13. Serve for one year on the Finance Committee after completion of the term as Treasurer.
- 14. Review your position description after you have finished your term and send any changes or additions you feel are needed to the Clerk of Procedures Committee. If you find issues before that send them earlier.
Financial Arrangements
The Yearly Meeting will pay the expenses of the Treasurer, if asked, to attend the winter meeting of the Representatives Committee. Incidental operating expenditures for clerical supplies, communications, etc., will be reimbursed.
